HOA treasurer duties: a checklist

What a volunteer HOA treasurer does each month, each quarter and each year, in plain words.

Updated November 1, 20265 min readLeer en español

The treasurer keeps the association's money safe and the board informed. Here's the job, broken down.

Every month

  • Record dues payments and send reminders.
  • Pay approved bills.
  • Match the books to the bank statement.
  • Move the reserve contribution.
  • Share reports with the board.

Every quarter

  • Review budget vs actual with the board.
  • Check who is behind and follow the collection policy.
  • Check insurance renewal dates.

Every year

  • Draft the budget and the dues notice.
  • Send 1099s to vendors who need them.
  • Hand the books to the CPA for taxes and review.
  • Review bank signers and access.

Protect yourself

Ask for a second approver on payments and give another board member view access to the bank. Good controls protect the treasurer from suspicion as much as they protect the money.
